Team Assistant / Office Manager - London (m/f/d)
What we look for:
- Efficiently manage the OMMAX London office, overseeing office supplies inventory and ensuring its smooth operation
- Create a welcoming atmosphere, skillfully receiving and hosting customers, candidates, and guests visiting OMMAX
- Organize and follow-up on meetings while providing general support at larger events
- Maintain strong relationships with service providers and act as a reliable contact person for external partners
- Proactively support the respective teams in fulfilling their daily needs and tasks
- Assist with travel planning, ensuring seamless arrangements for OMMAX personnel
- Proactively engage in general administrative tasks, organizing office operations and procedures
- Efficiently plan and organize customer appointments, company events, and visits to events and trade fairs
- Craft professional internal and external correspondence
- Contribute to the continuous improvement of existing processes and actively participate in the development of new processes
What we require:
- Bachelor's degree or equivalent training, complemented by relevant professional experience
- Proven track record in office management and partner/executive assistance, showcasing your ability to handle diverse responsibilities
- Exceptional organizational skills, demonstrating a structured, independent, and reliable work approach
- Excellent verbal and written communication skills in English (proficiency in German is a plus), enabling effective interactions
- Quick perception and proactive initiative, ensuring responsiveness to evolving situations.
- Extensive proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint), enhancing productivity and workflow.
